Official Transcript Request

You can still order transcripts by mail or using online forms. However, our in-person services have been suspended.

Official transcripts are printed on security transcript paper, have the signature of the university registrar, and carry the university seal. A transcript must remain in its sealed envelope to be considered official.

How to Order

Order online (payment by credit card or e-check only)

Online E-Form

Ordering online requires your HSU username, password and HSU ID number. You will be directed to Cash Net for electronic payment.

 Order by mail or email  with the PDF Form, if you:

  • do not have a user name or password,
  • are paying with a check or money order

Follow submission and payment instructions on the pdf form.

Former Students (attended before 1991)

You will need your HSU ID number to make an electronic payment. Call transcript services at 707.826.6242 for help.

  • Your signature is required to release your academic records. Transcripts cannot be ordered over the phone and requests without your signature will not be processed.

  • Incomplete information or addresses will delay processing

  • All fees are due at the time of your order

  • If you make an electronic payment, remember to submit a transcript request so we can see your request.

  • We do not accept payment information over the phone.

  • Administrative HOLDS need to be cleared before your records will be released.

Transcript Fees

The following fees apply to the transcript(s) ordered for processing at the same time. Complete two separate requests if you need transcripts sent now and also at a later date.

Standard Processing

Transcript requests are routinely processed and mailed out 7 to 15 business days* after arriving in our office or after grades post (if that option is selected on the request). See High Volume Delays below.

Optional Services

Expedited "RUSH" Handling - $10.00 per order
Transcripts will leave our office within 3 business days* via regular mail.

Add Overnight Mailing to a RUSH order - $10.00 per address
Transcripts will leave our office within 3 business days* via UPS overnight ground delivery.

Overnight mailing is only available to street addresses (not a PO box) within the 48 contiguous states (no Alaska, Hawaii, or overseas). A destination phone number MUST be provided.

*Business days do not include holidays/campus closures. For example, transcript requests will not be processed while campus is closed during winter break.

Notarization Service - $10.00 per notarized item
Documents from the Office of the Registrar are official documents; notarization is not needed for items to be official. A notarization is an additional security measure. If a third party requires a notarization, they will tell you. If you have questions about the need for notarization, contact our transcript office at 707.826.6242.

Note regarding an Apostille:  HSU does not provide an Apostille; the California Secretary of State provides an Apostille to authenticate California public officials' signatures on documents to be used outside the United States of America.

Note: During this time, rush notarization service is five business days.

High Volume Delays

Due to the high volume of requests at the start and end of each semester, standard processing (typically 7-15 days) can be as long as six weeks.

Transcripts Include

  • Graduate Writing Proficiency Exam (GWPE) passed (if applicable)
  • Degree(s) awarded, major and concentration
  • Minor
  • Total number of credits transferred from other institutions accepted by HSU.
  • All courses taken and attempted at HSU and grade awarded
  • Student standing each term
  • GPA for each term and institute totals

Transcripts do not include:

  • Emphasis (subdivision of concentration or major)
  • Certificates of study
  • Transfer credit (specific courses) from other institutions accepted by HSU
